Quick summary
- We collect only submission metadata (name, email, handle, Dropbox filename, caption) and limited technical data for moderation and support.
- Uploaded media is stored in Dropbox, not on our server, unless we choose to publish or copy a clip.
- We retain submission records for up to 12 months by default, unless you request deletion earlier.

What we collect and why
Submission metadata
- Full name – to credit or contact you.
- Email address – to verify uploads and follow up if needed.
- Dropbox filename – to match uploads to form submissions.
- Caption / handle – optional, used for crediting.
- Release checkbox – your permission to use the clip.
Technical data
- IP address and user agent – limited logging for security, abuse prevention, and debugging.
- Cookies / analytics – only if you consent to analytics in the cookie banner.
Storage of uploaded files
Files are stored via Dropbox file requests or a third party uploader. We only copy or publish files when we choose to feature them. See third party section for links.
Third party services
We use third parties for storage, forms, CDN and analytics. Review their privacy policies for details.

Legal basis and retention
We rely on your consent (release checkbox, analytics consent) and our legitimate interests to operate and moderate submissions. We keep submission metadata for up to 12 months, unless you request deletion sooner. Published content may be retained longer until you request removal.
Your rights
You can request access, correction, deletion, or restriction of your personal data. To exercise rights contact submissions@alohadose.com. We will respond according to applicable law.
Children
We do not knowingly accept submissions from children under 13. If a parent believes a child submitted without consent, contact us at submissions@alohadose.com.
Security
We use technical and administrative safeguards. No system is perfect. If you suspect a security issue, contact us immediately.
Changes to this policy
We may update this policy. We will post changes here and update the effective date.
